Note: This dashboard appears only in accounts with a legacy OpenSesame integration. For all other configurations, see How to use the My Courses dashboard.
The legacy Courses dashboard shows past and pending administrative activity for courses delivered with a legacy method.
Legacy delivery actions include:
- sending a course to a legacy OpenSesame integration
- sending learners invitations with CourseCloud Legacy
To find this dashboard, open your account menu and select Courses.
In this guide:
The dashboard
The legacy Courses dashboard has up to four tabs:
- Course Management
- Pending
- Failed
- History
Each tab has a table.
If your account also has a newer integration, for that information you can open the legacy Courses menu and switch to the My Courses dashboard.
The Course Management tab
The Course Management tab shows any upcoming retirements for delivered courses:
It has five columns:
- Title - Course details: title, publisher, and thumbnail image.
- License type - If your organization uses multiple license types for a course, each type has its own row.
-
Status - One of the following:
- Retiring
- Retired
- Archived
- Retire date - When a course changes from Retiring to Retired. This date can also be found on the course’s details page.
- Action menu - View suggested replacements or hide a course.
Course retirements
A course may retire due to outdated content, a redesign, a technical issue, or even poor reviews.
OpenSesame sends email notifications for each stage of the process:
-
Retiring
- The course will retire on its upcoming Retire Date.
- This stage lasts 90 days.
-
Retired
- The course reached its Retire Date. It can still be used until the end of its license’s term.
- This stage lasts 365 days.
-
Archived
- The course has been Retired for at least 365 days.
- If launched, it opens to an error message.
As a best practice, we recommend promptly replacing retiring courses.
Notifications
You receive an email notification from info@opensesame.com within 24 hours of the following events:
- A course you delivered is scheduled to retire.
- The course transitions from Retiring to Retired.
- The course transitions from Retired to Archived.
Each retiring course sends a total of three notifications, and our system sends a maximum of one notification per day. So if multiple courses transition on the same day, you receive a single notification.
To add recipients, see How to add email addresses to your account's Notification List.
Suggested replacements
To find potential replacements for a retiring course, open the course’s Action menu and select View Replacements:
This expands the table to reveal options from the OpenSesame catalog.
A Curator’s pick means an OpenSesame content expert suggests that course. All other suggestions are from our machine-learning algorithm.
To check if you already have access to a course, find its License type column.
- If you have a license, a license type appears.
- If you don’t have a license, dashes appear.
To add a course to a List for review, use the Add to List tool in the Action column. (For more information about Lists, see How to use OpenSesame Lists.)
For more information about a course, click its title to visit a details page.
For more suggestions, you can generate your own recommendations with a Smart List. And for help with selecting a replacement, contact your OpenSesame Customer Success Manager or OpenSesame Support.
Select a replacement
The steps to access a replacement course depend on the license type:
- OpenSesame Plus - Choose a different course from the OpenSesame Plus subscription catalog at your earliest convenience. There's no need to make a separate purchase.
- Volume - Since this type is purchased in advance, we recommend purchasing a different OpenSesame course when your 12-month license expires. If all seats are occupied and you need more, purchase a new course then. You can’t purchase licenses for a course after it retires.
- Pay Per Use (PPU) - Since this type is purchased at the moment of launch, select a different OpenSesame course and add it to your PPU library at your earliest convenience.
When you have access to a replacement, you can deliver it to learners.
If you use a learning platform, to avoid error messages later, remember to deactivate the retiring course in your platform.
Hide courses and stop notifications
When you replace a retiring course and no longer need reminders, you can hide it.
Hiding a course:
- Hides its suggested replacements
- Stops its notifications
- Changes its Action menu to a Visibility-off icon
To hide a course, open its action menu and select Hide course:
To hide multiple courses, select them and use the Hide Courses button:
Hidden courses move to the end of the table. You can also find them with the table’s search bar.
To make a hidden course visible, find it in the table, click its Visibility-off icon, and select Show course:
You can make hidden courses visible one at a time.
The integration tabs
For accounts with a legacy OpenSesame integration, there are three more tabs:
- Pending
- Failed
- History
They show delivery activity for the integration, starting with the most recent activity.
Pending
The Pending tab shows courses selected for your learning platform and not yet sent.
- To send them, click Send to LMS.
- To remove a course, click its trash icon.
Note: For OpenSesame’s legacy SAP SuccessFactors integration, courses stay in the Pending tab after they’re sent to the SuccessFactors OCN. The trash icon only successfully removes courses that haven’t yet been sent.
Failed
The Failed tab shows courses that didn’t send. If your send fails, please contact OpenSesame Support for assistance.
History
The History tab shows successfully sent courses.
