View all users
To view all of your CourseCloud users, log in to your Learning Administrator account, select Admin Tools at left, and then the Users tab:
Click Edit Users:
The Edit Users page lists Departments at the very top, followed by User search fields for filtering and two alphabets for quick navigation by First name and Last name:
Below these options is a table showing the users you (and any other Learning Admins in your organization) have added to CourseCloud. By default users will appear in the order their accounts were created, with the earliest at the top, and up to 30 entries will appear per page:
The user search and table sorting tools are explained in detail below.
Note: A CSV file of the information in this table can also be downloaded from the Reports tab of your CourseCloud dashboard.
Search for and filter user accounts
Depending on the size of your organization, you may be able to easily locate users with the results sorting tools alone. For larger organizations, the search filters can offer more efficiency and precision.
To narrow down your search to a specific department, expand the top section by clicking its arrow:
This will reveal the top-level departments that have been added to your organization in CourseCloud. If a department contains sub-departments, click the department’s arrow to reveal the next layer.
When you find your target department, click its name to select it. Selection will be indicated by bold text, as seen with Sales below. Any sub-departments, such as the four seen here, will be included in your selection:
Scroll down to view the table of results, which automatically updated:
To add more requirements to your search and narrow the results down further, scroll back up and click on User search fields:
This will reveal the options to search within a user’s first name, last name, or email address, as well as the ability to search by User type (the Learner or Learning Admin roles) or a user’s suspension status:
Enter your search parameters and click the Filter results button to update the table below:
Finally, scroll down to view your narrowed results:
This table’s many sorting tools are covered below.
Sort the table of results
The two alphabets seen above your results table allow for quick navigation by First name and Last name:
Below them, the table’s columns are First name / Last name, Email address, Department, Last access, Status, and individual User controls. The minus icon ( - ) next to any of them can be used to hide that column for a more streamlined view:
To change how these results are sorted, hover over any column header. When the header’s label changes color, click it to sort by that detail:
Note: If you leave this page and return, CourseCloud will remember your sorting preference for the length of your session. To clear it, use the Reset table preferences button above the alphabet tools.
A new icon will appear by your selected header, indicating whether the results are shown in ascending or descending order. In this example, users are sorted by their first name from A-Z. Clicking on the First name header a second time would toggle that to run from Z-A instead:
Email addresses will sort alphabetically by first letter. To browse within addresses with more nuance, use the search filter tools described in the previous section.
Departments will also sort alphabetically. If a user belongs to multiple departments, each department will be separated by a comma:
Users who have not yet logged in to their CourseCloud account will have the Last access date of “never” and the Status of “pending.” As soon as they log in for the first time, both of these fields will update:
Finally, you can click on the Status heading to locate all “pending” users—those who have been invited to CourseCloud and have not yet logged in:
View a user's account details
Once you’ve located your target user in the table of results, click their User controls button at right and select Edit from the menu that appears:
This will open their account details, which may look familiar:
These are the same fields seen in your Learning Admin profile (and detailed here), with two exceptions: the Suspended account toggle and the New password field. These additional fields appear below the Email address field.
