Getting started:
- You should have been given 3 things from the course builder:
A link to preview the course so you can see and hear the translated content in the course (if you did not receive this, please request it from the course builder as this will provide full context for the content that was translated to help you ensure the translations reflect the intended message)
- The media transcripts CSV file
- The course transcript XLF file
Editing translated captions:
2. Open the CSV file in a spreadsheet tool like Excel, Google Sheets or Numbers so that you can edit the translated content. Here is an example from Google Sheets:
3. Open the preview link and review the entire course with the captions turned on. You can either take notes with what needs to be fixed/added to the captions or you can pause the video/audio and find the incorrect text in the spreadsheet.
4. Make corrections in the spreadsheet in the column named: “Translated Text”.
NOTE: this is the ONLY field of the spreadsheet that will be updated when uploaded to Simon so you cannot change anything else that you see in the spreadsheet (filename, timing/duration, audio speed etc.).
5. When you have finished editing the captions for the entire course in the spreadsheet, download the CSV file from the spreadsheet:
NOTE: The file name for the CSV can be changed from what was originally downloaded. The information about the course and captions to update is included in the CSV.
6. Once you have finished editing the course content, simply save the edited file and then send it along to the course builder.
7. The course builder will upload the edits and generate a new course link for you to review to ensure the changes you made are included.
Editing the course text:
8. Open the XLF file in any text editing tool like Text Edit, Word, Visual Studio code, etc so that you can review and edit the translated content. Here is an example from TextEdit with a single “translation unit” highlighted in blue. You will see the title and description of what that text is for, as well as any details or restrictions.
In this example, we’ve highlighted the following information to help orient you: * Orange = the language code for the source and target language of the file * Green = details about the restrictions of the text maximum number or characters * Blue = the target text that you can edit
* Red = some text fields should not be translated and have the instruction translate = “no”
9. Once you have finished editing the course content, simply save the edited file and then send it along to the course builder.
10. The course builder will upload the edits and generate a new course link for you to review to ensure the changes you made are included.
