If you need to mark many learners complete for a course, you can upload a spreadsheet.
In this guide:
- Requirements
- Download the Bulk Completion template
- Prepare the spreadsheet
- Find course ID numbers
- Upload the spreadsheet
- Review results and correct any errors
Requirements
To use this tool, the following must exist in CourseCloud:
- The learners in your spreadsheet.
- The course(s) in your spreadsheet.
The learners do not need to be enrolled in the course(s), and the courses do not need to be active. You can also update completions for suspended learners.
Download the Bulk Completion template
Log in to your Learning Administrator account and select Admin Tools.
Select the Courses tab, then Bulk Completion Upload.
Download the Bulk Completion Template (CSV file) by selecting the Download button.
Prepare the spreadsheet
Find the downloaded file on your device and open it in any spreadsheet app.
Add one learner per row.
All columns are required:
- Email - The learner identifier in CourseCloud.
- Course ID - A number indicating which course to update. For where to find the course ID, see the next section.
- Score - Any whole number from 0 to 100.
- Completion Date - Formatted as YYYY-MM-DD.
Find course ID numbers
There are two places where a course ID appears:
- A course’s Edit Course tab.
- The Edit Courses tool.
1. A course’s Edit Course tab
From the course's page in CourseCloud, select the Edit Course tab, then locate the Course ID field.
2. The Edit Courses tool
To find IDs for multiple courses, navigate to Admin Tools > Courses > Edit Courses.
Locate the Course ID column. To find a specific course, use the search tool.
Upload the spreadsheet
When your spreadsheet is ready, save it as a CSV file. Most spreadsheet apps have this menu option under Save As or Download.
In CourseCloud, return to Admin Tools > Courses > Bulk Completion Upload.
If any completion uploads were made in the last 30 days, a history appears.
Select New Upload.
To add your CSV, drag it into the file-picker area or use the Choose a file button.
Select Upload.
The file is imported and its contents processed. When finished, a confirmation appears.
Select Continue to return to the Completions Import page.
For large files, the import processes in the background and appears as In Progress on the Completions Import page.
Review results and correct any errors
The history found on the Completions Import page shows the number of successful rows and any errors.
For more about an import, select View Details.
By default, the table includes every row from the uploaded spreadsheet. Rows with Complete are updated, and rows with errors are not.
To show only the rows with errors, select Error from the Status menu and then Filter.
The Messages column explains which errors happened. If a row had more than one error, multiple messages appear.
The potential errors are:
- Email is missing or invalid. (If no learner in CourseCloud uses the email address, or the formatting is incorrect, it is considered invalid.)
- Course ID is missing or invalid.
- Score is not between the range of 0-100.
- Completion date is missing or invalid. (It must use the format YYYYY-MM-DD.)
To download a CSV to correct any errors, select Download.
The CSV includes a message column for entries with errors. If you correct the issues and upload a revised file, that column is ignored.
When all errors are resolved and each row is Complete, the completion records are fully updated.
