Once your selected courses have been synced to CourseCloud, you can begin assigning them to learners. A learner's guide to getting started, launching courses, and following a Learning Path can be found here. (PDF)
While logged in to your Learning Administrator account, select Admin Tools at left and then the Courses tab:
From there, select User Enrollment:
Departments will appear first, nested below your organization’s name. Expand the department hierarchy by clicking the arrow at right:
The entire company is selected by default, and you can choose a specific department by clicking on its name. The selected department will appear in bold.
You can assign a course to an entire department or use the selected department’s list of members to narrow down your potential learners.
Once your targeted audience is selected, you can either click into the Search bar to type keywords or use the arrow at right to view an alphabetical list of courses available for assignment:
Click the name of the course you want to assign:
This will reveal a scheduling tool and an enrollment tool.
When learners are assigned a course they will receive an automatic email notification. If you do not want this notification to send immediately, which is the default, adjust the Send email on date and time to delay it:
Note: The time displayed here is tied to the time zone set in your account. If you have not altered your Profile’s time zone, it will default to Pacific Time.
Below the scheduling tool are two lists based on the department and course you selected. At left are any learners in this department who are already enrolled in the course, and at right are learners in this department who have not yet been enrolled.
Both lists have a search bar that can be used to narrow the results by learner name. The arrow next to the company name can still be used to filter by department.
Before enrolling learners, please confirm that the email notification date and time is set to your preference, as the enrollments will take effect immediately. If you want to send notifications today and still allow room for potential error or mis-clicks, you can set the date or time ahead and then set it back once satisfied with your enrollments.
Click the Enroll all button to enroll all learners in the chosen department. To enroll an individual learner, locate their name on the right-hand list, select the name to highlight it, and click Enroll:
Unenroll and Unenroll all work in much the same way as the enrollment options. First, use the departments and search tools to narrow the list of enrolled learners in the lefthand column. From there, use the Unenroll all button to unenroll entire departments, or select specific names and click the Unenroll button to unenroll individuals. Email notifications are not sent out for unenrollments.
